Manager Manual

1. Manager Role Scope

The Manager conducts daily operational workflows. When the Time Control module is active, managers can always access the Daily Time Activation Desk. The Center Administrator determines whether a manager account is also granted authority to manage:

  • users and courses;
  • desktop profiles and classrooms;
  • workstations and remote commands;
  • access reports and data exports;
  • the administrative activity log.

If a menu item is not visible, it indicates that your account has not been assigned that permission or the module is not licensed for the center. It is not necessary to request permissions outside your designated duties.

Managers cannot modify system-wide personalization, core modules, workstation capacity limits, staff management accounts, backups, or system updates.

2. Signing In & Out

  1. Open the control panel URL provided by center administration.
  2. Enter your email address and password.
  3. Upon logging in, you will typically see the Activate a User desk.
  4. When concluding your shift, click Sign Out in the user menu.

Do not click the browser Back button or simply close the browser tab on a shared workstation. Never share staff accounts: the Activity Log audits actions under the specific authenticated manager.

Multiple failed login attempts will temporarily lock the account. If you forget your password, request a reset from your Center Administrator.

3. Daily User Time Activation

This is the primary daily operational task, optimized for fast, keyboard-only or scanner workflow.

  1. Verify the official center operating day and suggested minutes.
  2. Scan the student's barcode. The barcode reader functions as a keyboard and typically sends an automatic Enter.
  3. If no barcode is available, type the username or code and press Enter.
  4. Review the on-screen confirmation before proceeding with the next person.

The input field immediately clears and regains focus for the next user.

Direct Access Without Prior Activation

If an entire class must enter without passing individually through the activation desk, staff with configuration permission have a quick Direct Access Without Prior Activation switch.

  • Enabled: Any registered account may sign in and automatically receives the configured daily minutes.
  • Disabled: A manager must grant today's time before the user can sign in at a client computer.

Possible Activation Results

Time Granted

The user is authorized to sign in to any client computer. The confirmation card displays previous login timestamp, last workstation utilized, and accumulated monthly usage.

Already Active Today

An existing daily allocation is already active. Review the remaining balance displayed.

  • If verifying status only, take no further action.
  • Click Reset Time only if you need to restore the full daily allowance. This action terminates any currently active session and restarts today's consumption counter.
  • Click Revoke if the authorization was granted in error. The associated session will be closed immediately.

Inactive User

Do not activate. If you have User management permissions, inspect the account and its course enrollment; otherwise, escalate to the Center Administrator.

User Not Found

Verify scanning or typing accuracy. If you have User permissions, the desk displays a Create & Activate card. It can record the name, username, barcode, course, and personal/shared account type, then grant today's time without leaving the screen.

Quick registration adapts the password field to the configured access mode: it is required for password-only access, optional when a barcode can replace it, and hidden in code-only mode. Shared accounts require an active course.

Monthly Limit Reached

No additional time can be authorized under the organization's current policy. Do not create duplicate accounts to bypass allowances. Consult center administration.

Customizing Time Allocation

You can adjust the Minutes field prior to activation (between 1 and 1,440 minutes). Ensure that center policies permit the exception. The change applies solely to that specific authorization.

Revoking Access Correctly

Revoking immediately cancels today's authorization and logs off the active workstation session. Use this function for corrections or disciplinary policy enforcement. Always enter a clear, descriptive reason; all revocations are audited in the Activity Log.

4. Users & Courses — If Delegated

Searching & Managing Users

Open Management → Users. Filter by text, course, account type (personal/shared), and status. Deactivation is logical: past session logs and statistics are preserved.

Creating a Personal User

  1. Click New User.
  2. Enter the full name and a unique username (2 to 80 characters).
  3. Assign a password of at least 4 characters.
  4. Record a unique barcode number if barcode readers are utilized; it must not match another account's username either.
  5. Optionally assign a course and desktop profile.
  6. Set as Active and save.

When editing, leave the password field blank to keep the current password. Internal notes are private and should never contain sensitive passwords.

Creating a Shared Course Account

  1. Verify that the Shared Accounts module is enabled.
  2. Select type Shared.
  3. Link the mandatory course.
  4. Define the common credentials.

Shared accounts simplify access for young student cohorts, though individual usage cannot be distinguished in access reports. Only one active shared account is allowed per course.

Managing Courses

Under Management → Courses, create or edit course names, codes, and assigned desktop profiles. Course codes must be unique. Deactivating a course blocks access for all enrolled students; always confirm the scope before disabling.

Bulk CSV Import

When enabled, CSV files support comma or semicolon delimiters (up to 2 MB and 2,000 rows). Required fields: name, username, password. Optional: barcode, course_code, account_type, active, notes.

The entire import batch is cancelled if a single row fails. Fix the flagged line rather than attempting partial imports.

5. Desktops & Classrooms — If Delegated

Configuring Applications

An application always points to an absolute Windows executable ending in .exe. For web applications, configure Chrome, Edge, or another browser as the executable and pass the URL in the arguments:

Never place a URL directly in the executable field. Ensure the path exists across target computers.

You can set a name, description and icon, and duplicate similar applications. Deactivating an application preserves it without showing it to users. To remove it permanently, open its edit screen, select Delete program, and confirm: it will disappear from the catalog and every desktop profile, while historical activity records remain unchanged. Verify that no room still needs it before deletion.

Configuring Desktop Profiles

A desktop profile defines the icons visible to students. Create a profile, select its applications, and keep it active. Use descriptive names like «Primary School», «Graphic Design», or «Main Library».

Switching Classroom Desktops

In Management → Desktops, locate the room and select the profile it should use. The change applies across the group and reaches connected devices on their next sync cycle.

Before a class:

  1. Select the required profile.
  2. Verify on a student workstation.
  3. Confirm that the expected icons are displayed.
  4. After class, restore the standard profile if applicable.

6. Workstations — If Delegated

Pairing a New Computer

  1. Open Management → Workstations.
  2. Select Pair and configure devices.
  3. Select the target classroom and generate a one-time pairing code.
  4. In Aula Control Client on the Windows PC, enter the server URL, pairing code, and computer name.

Codes expire after 10 minutes. If invalid, generate a fresh code; never reuse codes or clone workstation identity files.

Understanding Device Statuses

  • Online: Actively synchronizing with the server.
  • Offline: Has exceeded expected heartbeat intervals.
  • Revoked: Token invalidated and license slot released.

Status is calculated using central server time rather than local workstation clocks.

Remote Commands

The main screen shows one compact row per device with its room, status, current user, and remaining time. Select one or more devices and choose whether the command targets that selection, one room, or every device. You can broadcast instant messages, refresh desktops, adjust remaining time, lock screens, log off Aula Control, sign out of Windows, or shut down computers, subject to enabled modules. Active sessions also expose direct time adjustment and sign-out controls in their row.

A command marked «sent» is enqueued on the server. If a workstation is offline, it will execute the command upon reconnecting. Double-check selections before issuing room-wide commands.

Device Configuration Overrides

Select Pair and configure devices and open only the record that needs editing. Adjust device name or room assignment. For timeout and security policies, Inherit applies organization defaults. Do not enable automated file cleanup without prior testing.

Revoking a computer frees a license slot and requires re-pairing. Do not use Revoke as a substitute for shutting down.

7. Access Reports — If Delegated

Open Management → Reports and choose date range, search terms, or classroom. You can inspect:

  • username and barcode;
  • workstation and classroom;
  • session start and end times;
  • session duration;
  • logoff reason;
  • summary totals and breakdowns.

CSV and Excel exports preserve current filters. CSV is generated in UTF-8 with semicolon delimiters. Active sessions may not display an end timestamp.

Use Access Reports for student usage tracking. The Activity Log serves a different purpose (tracking administrative actions).

8. Activity Log — If Delegated

Displays staff logins and significant backend changes: creations, deactivations, activations, policy edits, and remote commands. Use it to audit who performed an action and when.

The Activity Log never displays passwords or encryption keys. Report unfamiliar administrative actions to the Center Administrator.

9. Troubleshooting & FAQ

Cannot access Users, Workstations, or Reports

Your account may lack that specific permission, or the module is disabled. Consult the Center Administrator; signing out and back in may be required after permission changes.

The barcode scanner does not trigger activation

Click once inside the input field, ensure the scanner reads the complete barcode, and verify that it sends an Enter suffix. You can also type the code manually to differentiate hardware issues from data errors.

A student states they have no remaining time

Search their activation record for today, inspect their remaining balance, and confirm they logged in with the correct account. Resetting time will log off their active session.

The user or course appears inactive

Do not create duplicates. Reactivate the existing account if authorized, or escalate the case.

A desktop icon fails to open its application

Ensure the student is running Aula Control Client on Windows, that the program is physically installed on that PC, and that path and arguments are correct.

A remote command is delayed

Check whether the device is online and review pending commands. Allow time for the sync cycle before repeating power commands like Shut Down.

The local computer date differs

Do not use the local computer clock to assess activation validity. The system relies strictly on server time.

10. End-of-Day Checklist

  • [ ] All activation discrepancies resolved and documented.
  • [ ] Classrooms configured with appropriate desktop profiles for tomorrow's sessions.
  • [ ] Active workstations display expected online/idle statuses.
  • [ ] Panel sessions logged off on shared staff computers.
  • [ ] Deactivations, time exceptions, and bulk remote actions reported to management.
