Client User Manual

1. Who This Manual Is For

This manual explains how to use a computer managed by Aula Control or Biblio Control. Available options may vary depending on center configuration.

Two account types are available:

  • Personal Access: Each user logs in with their own individual credentials.
  • Shared Course Access: Multiple students share a common account assigned to their class or group.

Both use the same sign-in screen; you do not need to choose a method first. Staff members will tell you which credentials to use. Client workstation credentials cannot be used to access the web management panel.

2. Before Logging In

You will need one of the following, depending on center policy:

  • username and password;
  • username or access code;
  • registered barcode card;
  • shared course credentials.

In organizations using Time Control, a manager must activate your account for the current day before you can log in, unless automatic access is enabled.

Never share personal credentials. When using a shared course account, follow instructions provided by your instructor or librarian.

3. Logging In

  1. Enter your username or code and, when prompted, your password.
  2. If your organization issued a card and a scanner is available, scan its code in the same field.
  3. Read the terms of use. If the acceptance checkbox is shown, check it to continue.
  4. Click Log In to Computer.

You may be prompted to accept updated terms whenever a new version is published.

Login Messages & Alerts

  • Invalid Credentials: Verify uppercase/lowercase letters, username, password, or code.
  • Session Already Open: A personal account cannot be used on two computers at once. End the previous session or contact staff. Shared course accounts allow several simultaneous workstations.
  • Too Many Attempts: Wait five minutes before trying again.
  • Activation Required: Request a daily time activation from staff; your daily or monthly allowance may be exhausted.
  • Must Accept Terms: Read the terms of use and check the acceptance box.

4. The Active Session

After logging in, your screen will display:

  • your name or shared class account name;
  • assigned classroom or room;
  • remaining session time (displayed in hours, minutes, and seconds if you have more than 60 minutes remaining);
  • authorized application icons;
  • allowed computer controls (e.g., Log Off, Shut Down).

The session countdown runs on central server time. Changing the local Windows clock will not grant additional time.

The client software performs regular background connectivity checks. If network connection is interrupted, wait for recovery and follow on-screen alerts. Do not attempt to close Aula Control to preserve time.

5. Launching Applications

  1. Locate the application icon on the Aula Control desktop.
  2. Double-click the icon.
  3. Wait for the application window to open.

Web applications launch in Chrome, Edge, or another authorized browser, typically in private or incognito mode. Aula Control does not embed raw web pages directly inside the desktop window.

If an alert indicates that the native client is required, you are accessing the page through a standard web browser or the Windows container did not respond. Launch Aula Control Client on the physical computer.

Available icons may change depending on classroom, course, or user account. Updates issued by instructors will appear within a few seconds.

6. Remaining Time & Warnings

When only a few minutes remain, an on-screen warning will appear. Save your work immediately.

When time expires or you click End Session, the session finishes according to organization policy. The organization may configure Aula Control to close applications launched during the session and clean selected local folders. On workstations deliberately prepared with a Windows mandatory profile, profile changes may also be discarded when the Windows account signs out.

These measures are optional. Never assume that a local file will be retained or automatically deleted.

Saving a file inside a local folder does not guarantee it will persist on that computer. Always save to approved external locations (such as your educational cloud storage or personal USB drive) and close documents properly.

Staff members can extend or reset your time allowance. Resetting time closes your active session before restarting with the new balance.

7. Ending Your Session

  1. Save all open documents.
  2. Close all active applications.
  3. Click End Session in Aula Control.
  4. Wait until the login screen reappears.

Depending on center policies, you may also see:

  • Shut Down: Powers off the computer.
  • Sign Out of Windows: Signs out of the local Windows user account.
  • Exit Aula Control: Permitted only when authorized by staff.

Never walk away from a workstation with a personal session open. On shared course accounts, always log off so the next group can begin cleanly.

8. Security & Responsible Use Rules

  • Use only authorized applications provided on the desktop.
  • Do not attempt to modify system settings, install unapproved software, or disable the control system.
  • Never save personal passwords in shared web browsers.
  • Private browsing mode minimizes local browser history, but does not provide anonymity from the school network or visited websites.
  • The system logs account name, workstation, classroom, start time, end time, duration, and logoff reason.
  • Shared accounts identify the class cohort rather than individual students.
  • Report any active session left open by another user to staff immediately.

Aula Control may disable certain Windows shortcuts. Ctrl+Alt+Del is managed by Windows and must not be used to bypass session controls.

9. Troubleshooting & FAQ

Username or password not recognized

Re-type credentials carefully, ensuring Caps Lock is off and no trailing spaces exist. After five failed attempts, wait five minutes.

Account is already connected

A personal account keeps only one active session. End the session on the other computer or ask staff to close it from Device Management. A shared course account can be used on several workstations at once; if it is rejected, ask staff to verify its account type.

Barcode scanner does not respond

Click inside the barcode field, scan again, and verify that characters appear. If the issue persists, present your card to staff to verify that the barcode is registered.

Screen states «Activation Required»

Consult staff. You may need today's daily authorization, your daily time may have elapsed, or your monthly quota may be reached. Adjusting the local computer clock will not resolve this.

Desktop is empty or an application is missing

Wait a few seconds for desktop synchronization. If icons still do not appear, inform staff of your username, classroom, and computer name. Do not attempt to launch executables from unapproved Windows folders.

An application will not open

Try double-clicking once more. If it fails, report the application name and computer number to staff. Do not attempt to modify settings.

Network connection lost

Wait for the client recovery prompt. If the central server remains unreachable, notify staff. Do not repeatedly restart the PC or change system time.

Session closed unexpectedly

Sessions close upon time expiration, extended inactivity, prolonged network loss, remote administrative action, or staff time adjustments. Save your work frequently to prevent data loss.

Forgotten credentials

Center staff can reset your password. Never send passwords over unverified messaging channels.

10. Quick Reference Summary

  1. Enter the credentials or code provided by your organization.
  2. Accept the rules of use if prompted.
  3. Double-click icons to launch applications.
  4. Monitor remaining time and save work frequently.
  5. Click End Session before leaving the workstation.
